Profile backup

Google Business Profile backup for the data Google lets go

Google drops daily insights after about 18 months, archives old posts and removes reviews without saying why. GBPilot syncs your profiles and keeps what it sees, plus every rank scan, while your account is active.

Key takeaways

  • Google's Performance API returns about 18 months of daily insights. Older days are gone from Google.
  • Update posts are archived after 6 months unless they have a date range, and a removed review leaves nothing behind on your profile.
  • Google's own downloads cover profile details and an insights report for a timeframe you choose. Neither keeps a review after Google removes it.
  • GBPilot imports up to 18 months of insights and keywords when you connect, then keeps each new day, review, post and rank scan while your account is active.
  • A backup is a record. It can't put a review back on Google or reach data Google had already dropped.

How it works

How the backup works

  1. 01

    Connect your profiles

Sign in with the Google account that manages your Business Profiles. Agencies can connect every location they look after.

  2. 02

We import what Google still has

Up to 18 months of daily insights and monthly keywords, plus every review and post Google returns today.

  3. 03

    We keep syncing

Insights are fetched every night. Reviews and posts sync on the schedule you set, and each rank scan is saved when it finishes.

  4. 04

    Look back any time

Switch insights to all time, open the removed reviews tab, or compare a keyword's rank scans month by month.

Google's windows

How long does Google keep Business Profile data?

It depends on the data. Google's Performance API returns about 18 months of daily insights, and older days drop off. Update posts are archived after 6 months unless they have a date range. Reviews stay only while Google shows them. Chat and call history was switched off on 31 July 2024.

Google doesn't list these windows in one place, and the Performance API reference doesn't promise a fixed length. The table shows what we found and what GBPilot keeps instead.

Google's downloads

Can you download your Google Business Profile data?

Partly. Business Profile Manager lets you download your profiles' details as a spreadsheet and download an insights report for a timeframe you pick. Once Google removes a review, there's nothing left to download, and the chat and call history export through Google Takeout closed on 30 August 2024.

These downloads are snapshots of what Google holds on the day you click. If you rely on them, the download has to happen every month, before the oldest month falls out of the window.

  1. 01Profile details: in Business Profile Manager, select your profiles, open Actions and download them as a spreadsheet.
  2. 02Insights: select the profiles, choose Actions, then Insights, pick a timeframe and click Download report. It can only cover days Google still serves.
  3. 03Reviews: Google's help pages don't describe a review export. Owners on Local Search Forum describe copying reviews into a spreadsheet by hand or with an add-on.

What we keep

What does GBPilot back up?

Everything we sync from your profile stays in your GBPilot account while it's active: daily insights, monthly search keywords, every review including ones Google later removes, your posts, and every geo-grid rank scan. When you connect, we import up to 18 months of insights and keywords that Google still serves, then add each new day.

  • Calls

    Daily insights

Website clicks, directions, messages, bookings and views

  • Monthly counts

    Search keywords

Including terms Google shows as a range

  • Text

    Reviews

Rating, your reply, and the date Google removed it

  • Every post we sync

    Posts

Still on record after Google archives it

  • Each geo-grid scan

    Rank scans

With the rank in every cell

For agencies

Why do agencies back up client profiles?

Because the evidence of your work expires. A client who asks how this spring compares with the spring two years ago needs data Google no longer serves. A backup also keeps the record of reviews that vanished, so you can show what happened instead of guessing.

GBPilot keeps each location's history in one workspace, so a year-on-year report doesn't depend on someone remembering to download a file every month.

Limits

What can't a Google Business Profile backup do?

It can't bring anything back on Google. A backed-up review stays in your GBPilot account, but only Google decides what shows on your profile. It also can't reach data older than Google's window on the day you connect, and it can't tell you for certain why Google removed a review, because Google doesn't say.
